About the roleMain Objectives:Responsibility for all aspects of secretarial and personal administrative support for the Headteacher, including fullGovernors support.- To set up efficient and effective systems.- To manage the Headteacher's diary and appointments.- To produce correspondence, reports and newsletters.- To produce, where appropriate, confidential correspondence and reports.- To manage, perform and maintain all filing, both electronic and paper for the Headteacher.- Under the direction of the Headteacher, to maintain accurate records.- To deal with all telephone and personal enquiries efficiently and effectively, in a way which promotes a positive imageof the school.- To minute meetings where appropriate, including staff meetings.- To be responsible for the production of the weekly staff bulletin and the regular newsletter to parents.- To undertake training and development relevant to the post and in line with the school's.- developing profile.- To fully support the governing body with all administrative duties, including when appropriate to minute take atmeetings.- To support your line manager and other colleagues as required.- To perform any other duties necessary in line with the overall school administration role.- To perform any other duties necessary to aid the growth and development of the post.- To distribute and follow up work allocated to other members of the team.- To perform photocopying, faxing and distribution tasks as and when required.- To administer/rotate and monitor any necessary rotas.- To undertake any temporary duties consistent with the basic objectives of the post.- Degree (desirable but not essential)- Extensive experience of working as a secretary or personal assistant in a complex organisation.- Successful experience of dealing with a range of complex and routine office tasks.- Experience of managing and maintaining diaries and appointment schedules.- Experience of working to deadlines and monitoring work progress.- Experience of personal assistance to a high level- Excellent working knowledge of Microsoft Office packages.- Knowledge and understanding of the potential of ICT as a tool to improve efficiency and communications.- Knowledge and understanding of school organisation and aims.- Good knowledge of effective office systems and office management systems.- Knowledge of effective systems for managing and motivating staff.- Excellent interpersonal, communications and numeracy skills.- Ability to work under pressure and to tight deadlines.- Ability to work in a sensitive environment maintaining high levels of confidentiality when necessary.- Good organisational skills including recording, monitoring and checking progress where key tasks are concerned.- Excellent secretarial skills, including the ability to take minutes of meetings.- Good written communication skills and the ability to support the drafting and proof-reading of correspondence anddocumentation.- Evidence of a personal commitment to professional development and the updating of job-related skills.Location: TottenhamStart date: 17/10/2005 |
