We are looking for an experienced secretary to work for a large financial company based in the city centre of Newcastle.The Executive Secretary will require at least 5 years secretarial experience within a client driven environment. TheExecutive Secretary will also require an extensive knowledge of Word, Excel, Lotus Notes and PowerPoint. The ExecutiveSecretary will also require a minimum of 55 words per minute. The Executive Secretary will be responsible for providing asecretarial and administrative service to portfolio of technical staff, including Partners, Directors and SeniorManagers.Typical Activities:Manager and Manager support levels. Produce client correspondence, documents, presentations and proposals to the companyStandards and house style/brand (either by self or managing through the local Document & Design Team) Sort, screen andprioritise incoming mail (by post and fax), drafting responses to correspondence where appropriate and flagging keyactions Sort, screen and prioritise incoming Lotus Notes on behalf of Partner(s) (when requested and appropriate).Proactively build and develop internal and external networks of contacts and build knowledge of key business matters inorder to effectively identify and screen priorities. Anticipate technical staff's workloads and priorities in order totake ownership of internal and external queries and to proactively respond/action. Prepare papers, agendas and otherrelevant materials for team and attendees prior to key Meetings (where appropriate). Manage the submission of accuratetimesheets and expenses for technical team. Maintain and monitor relevant company Databases. Maintain up-to-date clientand/or target contact lists. Other ad-hoc administration tasks e.g filing, faxing, photocopying, document binding,organising couriers etc. Provide secretarial cover in times of team member(s) absence from the office.Other skills required:Ability to use initiative and problem solve High degree of accuracy and attention to detail in dealing with the mostroutine tasks.Good working knowledge of office equipment, including Telephone, Printers, Copiers, Shredders and Binders.Ability to adapt to a constantly changing and growing business environment.The position is available immediate and offers a professional working environment.Location: Newcastle upon TyneWhen replying please quote the customer reference number 067103144 for a speedy reply. |
