My client is one of the most reputable professional services firms in the UK. They are currently seeking an Executive Secretary to support a portfolio of Senior staff at their lovely London offices. PURPOSE: To provide a secretarial and administrative service to a portfolio of technical staff (portfolio will typically include a combination of between 5 and 8 Partners, Directors, Assistant Directors and Senior Managers). TYPICAL ACTIVITIES *Proactively manage the technical teams constantly changing diaries*Manage and organise associated travel and accommodation requirements, adhering to the firms Travel Policy *Act as first point of contact for internal and external clients *Organise internal and external meetings and events etc*Produce client correspondence, documents, presentations and proposals to the firms standards and housestyle/brand *Sort, screen and prioritise incoming mail (by post and fax), drafting responses to correspondence where appropriate and flagging key actions *Sort, screen and prioritise incoming Lotus Notes on behalf of Partner(s) *Proactively build and develop internal and external networks of contacts and build knowledge of key business matters in order to effectively identify and screen priorities *Support technical staff in account coordination activities for non-PAT accounts *Anticipate technical staffs workloads and priorities in order to take ownership of internal and external queries and to proactively respond/action *Prepare papers, agendas and other relevant materials for team and attendees prior to key meetings (where appropriate) *Manage the submission of accurate timesheets and expenses for technical team *Maintain and monitor relevant databases *Maintain up-to-date client and/or target contact lists *Other ad-hoc administration tasks eg filing, faxing, photocopying, document binding, organising couriers etc SKILLS REQUIRED *Minimum of 3 years secretarial experience in a client-driven professional environment *Excellent interpersonal skills with ability to build good team relationships *Good level of communication skills written & oral *Strong organisational skills with ability to prioritise an often conflicting workload *Proficient in Word/Powerpoint/Lotus Notes/Excel *Ability to use initiative and problem solve *High degree of accuracy and attention to detail in dealing with the most routine tasks *Minimum typing speed of 55 wpm |
